Sponsorship invoice template
A free sponsorship invoice template for creators, podcasts, newsletters, clubs and events. Bill the package you agreed, split it into installments if the agreement does, and add any performance bonus as its own clear line.
No signup and no email address needed. To use Google Docs or Sheets, upload the file to Google Drive and open it there.
What to include on a sponsorship invoice
- Your organization or creator details and the sponsor's billing details.
- A reference to the sponsorship agreement: its date or number, and the sponsor's PO if they use one.
- The package, described the way the agreement describes it, such as "Gold package: logo on kit, 2 posts, 1 newsletter feature".
- Which installment this is, for example "Invoice 2 of 2", if payment is split.
- Performance bonuses on their own line, with the result that triggered them.
- Agreed costs, such as production or activation, if the sponsor covers them.
- The due date and how to pay.
Installments and milestones
Many sponsorships are paid in parts: on signing, at the midpoint, or after the event or campaign. Send a separate invoice for each part. Number them in sequence and say which installment each one covers, so the sponsor's accounts team can match them to the agreement without asking.
Cash and in-kind sponsorship
Only the cash part of a deal is invoiced for payment. If a sponsor also provides products or services in kind, such as kit, venue space or media, you can list them on the invoice at zero cost as a record. Many organizations track in-kind value separately. Check with your accountant how to treat in-kind value for tax.
Proof of delivery
Sponsors approve invoices faster when you show what they got: links to the posts, photos of logo placement, attendance numbers or a short recap. Send the recap with the final invoice. Put a firm due date on every invoice. Sponsors paying from abroad can use USDC through the crypto invoice generator.
