Influencer invoice template
A free influencer invoice template built for brand deals. Bill each deliverable on its own line, from Reels and Stories to TikToks and usage rights, so the brand's finance team can match it to your contract and pay without a back-and-forth.
No signup and no email address needed. To use Google Docs or Sheets, upload the file to Google Drive and open it there.
What to include on an influencer invoice
- Your legal name or business name, the same name that's on your tax form. Brands pay the name they have on file.
- The brand's billing entity, which is often a parent company or an agency, plus the campaign name and any PO or insertion order number.
- Invoice number, invoice date and due date, plus the dates the content went live.
- Each deliverable on its own line: platform, format and quantity. For example, "Instagram Reel, 1 × 30–60 sec" or "TikTok video, 2 ×".
- Usage rights: where the brand can reuse your content and for how long. Price paid ads and whitelisting separately.
- Exclusivity, if the contract pays you to avoid competitors for a period.
- Agreed expenses, such as props or travel, on their own lines.
- Payment terms and how to pay: bank details, and USDC if the brand pays in stablecoins.
Usage rights and whitelisting
Your fee for making and posting the content is one thing. The brand's right to reuse it is another. Organic reposting on the brand's own channels is often included or priced low. Paid usage, where the brand runs your content as ads or through your account (whitelisting or Spark Ads), is worth charging for separately, by duration, such as 30, 90 or 180 days. Say on the invoice that usage starts when the invoice is paid. That gives you leverage if payment is late.
When to send it
Invoice when your contract says to, which is usually the day the content goes live. Bigger deals often split payment, for example 50% on signing and 50% on delivery. Attach the live links and, if the contract asks for them, screenshots of the post insights. An invoice with proof attached is approved faster.
Getting paid by brands
Brands commonly pay on 30-day terms, and agencies may wait until their client pays them, so put a real due date on every invoice. US brands usually ask for a W-9 before your first payment, and some will send a 1099-NEC at year end. Working with a brand abroad? Offer a USDC option: the crypto invoice generator adds a payment QR code, and the money lands in minutes rather than days. A free RivitPay account shows when the brand opens your invoice and sends reminders when it's overdue.

Frequently asked questions
Is this influencer invoice template free?
Yes. The Word, Excel and PDF versions are free to download with no signup, and you can fill it in online with the free invoice generator and download a PDF with your details.
What should an influencer invoice include?
Your legal name, the brand's billing entity and campaign or PO number, an invoice number and dates, each deliverable on its own line, usage rights and exclusivity if paid, any agreed expenses, the total, payment terms and how to pay.
Should I charge separately for usage rights?
Usually, yes. Posting on your own account is one fee. The brand reusing your content, especially as paid ads or through whitelisting, is priced separately by channel and duration, such as 30 or 90 days.
When should I invoice a brand?
When your contract says to, which is most often the day the content goes live. Larger deals often pay part up front on signing and the rest on delivery. Attach the live links to speed up approval.
Do brands need a W-9 from me?
US brands usually ask US-based creators for a W-9 before paying, and may send a 1099-NEC for the year. Keep your own copy of every invoice either way.
